What we need from you before your event (Psst! It’s less than you think!)
“AAAGH, do I need to have my entire slide deck ready for you a few weeks before the event?”
Hell nooo. Let us make this super duper easy for you! All we reeeally need in terms of what’s happening on the big day is the agenda.
Well, there are a few more little steps along the way to make sure we’re all happy and ready to go, but trust me, what we need from you is probably less than you think, and it’s all taken care of by our booking system which doesn’t miss a trick!
How easy peasy is it?
Trust us, ALL of your lemons will be squeezed.
First of all, we’ve made the process behind the scenes very slick for both you and the illustrators. Let’s walk through it…
Briefing Call
The good news is, we’re gonna have a chat about it first! It all starts with a briefing call, where we can get a feel for what your event is all about. You can ask us questions, we’ll ask you questions, then if we’re all happy, it’s on with the show, and we’ll set you up with a contract! This is what triggers that slick behind-the-scenes stuff to happen…
Event Questionnaire
As soon as the ball is rolling and your contract is signed, we’ll let you know who your illustrator is, and you’ll receive a fancy event questionnaire from us. This is your one-stop shop to share the key information about your event. It’s all there on the form for you, so you don’t even need to think about what to include - we’ve got it covered!
We’re talking stuff like:
- Date, time and location
- Your brand guidelines plus any logos/colours you want us to use
- Any jargon you’d like us to be aware of
- And most importantly… your agenda!
Is that really all there is to it?!
Pretty much! The questionnaire is a bit more detailed than those bullet points above, but in a nutshell, this is all we need!
If you have anything extra you’d really like us to know which isn’t on that form, then of course you can let us know. And if we have any additional questions before the event, we’ll reach out too. But honestly? That questionnaire does all the hard work for us, and as long as we know your agenda, we’re all set!
How soon does the illustrator need the information?
WELL. It would be lovely if we could have it the week before the event. Most of the stuff we need (colour palettes, logos etc) will be stuff you already have to hand.
As for the nitty-gritty details of the event itself, don’t worry if you’re still making tweaks at the last minute. We understand what it’s like and that event prep takes time!
If your agenda changes or plans get tweaked along the way, just let us know! Everything will be tip-top at our end as long as we have the most up-to-date version of things by the day itself.
